Terms of Service
Version 2026-10-16
1. Who we are
Arcscribe Ltd ("Arcscribe", "we") provides the Arcscribe Receptionist service ("the service") to the business named in your sign-up ("you"). Arcscribe Ltd is registered in England and Wales, company number 16921982, registered office 18 Colegate, Norwich, NR3 1BQ. Our VAT number is GB511696785.
2. The service
- We provide a phone number, call handling, text messages and, on plans that include it, an AI assistant that answers calls for you. What each plan includes is shown at sign-up and in Keystone.
- Setup normally takes a couple of hours, but can take up to 3 days. We may decline a sign-up, in which case we refund any setup fee in full.
- We aim to keep the service available at all times, but we can't promise it will never be interrupted. If something goes wrong, calls fall back to ringing your phone or sending your automatic text wherever possible.
3. Free trials
- A free trial starts when your number goes live and lasts the number of days shown at sign-up.
- We email you 3 days before it ends. If you do not cancel, we charge the setup fee (unless waived) and your first billing period at the end of the trial.
- One free trial per business. We may decline a trial for a business that has had one before.
4. Charges and payment
- Prices are shown excluding VAT. VAT is added at the standard rate.
- Subscriptions are billed in advance, monthly or annually. AI minutes over your plan's allowance are billed in arrears, up to the overage cap shown in Keystone.
- If a payment fails we will retry it and email you. If it is still unpaid after 7 days we pause the AI and text features until it is paid. Calls still ring through to you.
- We may change our prices by giving you at least 30 days' notice by email. Changes apply from your next billing period.
5. Cancelling
- You can cancel in Keystone at any time. Paid subscriptions end at the end of the period you have paid for. We don't refund part periods.
- After cancellation we hold your number for 30 days, then may release it.
- We may end the service if you seriously or repeatedly break these terms or the Acceptable Use Policy, or with 30 days' notice for any other reason (in which case we refund any period you have paid for and not used).
6. Your responsibilities
- You must follow the Acceptable Use Policy.
- You are responsible for telling your own customers how you use their personal data (your privacy notice).
- You are responsible for checking bookings and messages and dealing with your own customers.
7. Liability
- The service helps you catch and handle calls. We don't guarantee any number of calls, bookings, jobs or revenue.
- The AI assistant can make mistakes. We aren't liable for losses caused by something it says or misunderstands, or by a call or message that isn't answered, beyond the limit below.
- We aren't liable for loss of profit, revenue, business or goodwill, or for any indirect loss.
- Our total liability to you in any 12 months is limited to the amount you paid us in those 12 months.
- Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else the law doesn't allow us to limit.
8. Changes and law
- We may update these terms. We'll email you at least 30 days before a change that affects you, and the version you agreed to is recorded in your account.
- We'll send notices to the email address on your account. You can contact us at the address in section 1.
- These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
